Fully Booked is a booking platform for UK minibus and coach hire and the job-sharing network of operators behind it. A customer describes a trip once on the customer website and receives offers from the operators who can serve it, ranked with reviews and vehicle photos, then books with a small protected deposit. An operator who cannot take a job refers the customer from the app, and earns a share when another firm in the network carries it. Around that loop sit quotations, cancellations, Get Covered, partner contacts, stored bookings, a wallet, business pages and the Prebooked widget, all on one backend and run from an admin control room.

### Every operator turns work away

<p>Minibus and coach hire in the UK runs on small firms, and every one of them says no several times a week. The vehicles are already out, the trip is outside the area, a coach breaks down the night before, or the customer wants a cheaper price. That customer used to get a friend's phone number or nothing at all. The firm that took the call earned nothing, and the firm that could have done the trip never heard about it.</p><p>Fully Booked was started by an operator who was tired of watching that happen. It connects the two conversations that matter in this trade, operator to operator and operator to customer, so the firm that cannot take a job passes it to firms that can, the customer chooses between real offers, and the firm that passed it on is paid for the lead.</p>

### A refused job becomes a referral in one tap

<p>When an operator has to say no, the app turns the refusal into a hand-off. One tap on Earn Commission produces a polished PDF in the operator's own name, a gracious note and a link that lets the customer ask every suitable firm for a price, sent over WhatsApp or email in seconds.</p><p>The customer hears a recommendation from a firm they already trust rather than an advert. The operator keeps the goodwill and earns a share of the booking if the customer books, paid on the day of the trip, and a tracker follows the lead like a parcel: sent, filled in, quoted, booked, paid.</p>

### One enquiry reaches every operator who can help

<p>The customer fills in one form with the route, dates, passengers, vehicle size and luggage. Operators who can serve it hear at once, the referring firm's partners first, then the most trusted firms on the leaderboard. Offers come back side by side with vehicle photos, reviews and payment options, so the customer compares on trust as well as price.</p>

### Talk freely, book safely

<p>Customer and operator chat openly and can settle a new price, but phone numbers, email addresses and company names stay hidden until the booking is secured. That one rule protects both sides: the customer is not chased by strangers, operators win on service rather than on who grabs a number first, and the network is not bypassed the moment a deal looks close.</p><p>To confirm, the customer pays a small deposit online. It is held until the trip goes ahead and refunded at once if it does not, and if an operator ever lets a customer down, the network can call on every firm on the platform to cover the trip. Confirmations and invoices then reach the customer, both operators and the platform without anyone typing them.</p>

### When a vehicle is off the road, the network covers

<p>Breakdowns and double bookings are the moments a small firm loses customers for good. Get Covered lets the operator post the trip to trusted partners or to the whole network, watch covering firms respond with a price, chat, and hand the job to the one they choose. The covering firm gains a job it would never have seen, and the customer still gets their trip.</p><p>Partners are added with a private code, so friendly firms become a job-sharing circle with first sight of each other's leads and covers. Every cover sent to a firm outside the platform carries an invitation to join, which is how the network grows through its own members.</p>

### The tools an operator opens every day

<p>A referral network only works if operators keep the app open, so Fully Booked grew into the tool they run the business from. Quotations go out as professional PDFs in seconds, each ending with a link for the customer to compare more quotes. Those enquiries land in the app as direct customers, and the platform charges only when a trip is booked.</p>

### A control room that keeps the network honest

<p>A marketplace of independent firms lives on trust, so the founder runs it from <a href="/portfolio/fully-booked-admin-dashboard-for-bookings-and-operators">an admin dashboard</a>. New operators are reviewed before they can quote, offer templates and vehicle photos are approved, conversations and reviews are moderated, and every booking, cover, payment and payout can be traced.</p><p>Fees, limits and each operator's permissions are settings rather than code changes, so the business model can move as fast as the market does.</p>

### Built to keep shipping

<p>One NestJS and GraphQL backend on MongoDB serves the React Native app on both stores, <a href="/portfolio/fully-booked-customer-booking-website-for-group-trips">the customer site</a>, the operator site, the admin dashboard, the documentation site and the widget, with Square taking payments, Twilio verifying phones and every PDF rendered on the server. It ran on <a href="/portfolio/fully-booked-dockerized-deployment-with-digital-ocean-and-cloudflare">Docker on DigitalOcean behind Cloudflare</a> and later moved to <a href="/portfolio/fully-booked-zero-downtime-migration-to-self-hosted-kubernetes">a self-hosted Kubernetes cluster with zero downtime</a>.</p><p>The same architecture has carried every phase since 2023 without a rewrite, from <a href="/portfolio/fully-booked-ui-ux-design-for-mobile-app-and-admin-panel">the first sketches</a> to <a href="/portfolio/fully-booked-app-store-and-play-store-deployment">each store release</a>. For operators that means a product that keeps improving while they use it, and for the founder a platform that can grow without being rebuilt.</p>
